A leading university in Boston, MA is seeking a Grant Administrator to join their team. In this contract role, you will administer and monitor grants and other external funding. Responsibilities for the Grant Administrator:

  • Assist the Financial Manager and faculty in preparation of proposals
  • Provide considerable support to Principal Investigators to ensure grants are administered in accordance with established guidelines and are within budget
  • Participate in funding identification and proposal development activity as necessary
  • May provide administrative or research support
  • Review, approve and process grant modifications, pre-awards and no-cost extensions
  • Provide faculty with financial statements and advise faculty on funding decisions
  • Make decisions based on University and funding agency guidelines on appropriateness of funding expenditures
  • Advise principal investigators on compliance issues with external regulations governing sponsored projects
  • Reconcile the department shadow spreadsheet against SAP balance for all grants, and investigate discrepancies
  • Alert PIs to over- and under-spending, recommend best practice for utilization of funds
  • Provide monthly budget reports to PIs for reconciliation
  • First point of contact for all faculty, staff, and students on grant-related matters; work exclusively with PI in all aspects 
  • Process all grant-funded purchases – purchase orders, invoices/disbursements, ISRs, travel expense report authorization
  • Ensure compliance of proposal guidelines and acting as the main liaison between faculty and OSP, as questions arise
  • Assist faculty with overall budget development and budget justification
  • Prepare necessary grant applications with information and budget, and upload all necessary documents
  • Interact with university offices and government agencies on the behalf of principal to initiate or answer follow-up questions regarding proposals
  • Update and maintain accurate proposal database to track proposal applications, reconcile against SAP reports
  • Help faculty in identifying potential funding opportunities
  • Review and reconcile faculty discretionary accounts, which would be included in monthly financial reports
  • Work with the Academic Program Coordinator to approve and verify graduate student funding for each semester
  • Verify grant balances and work with PIs to ensure adequate coverage of student salaries
Requirements for the Grant Administrator:
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
