Our client in Cambridge, MA is seeking an Administrative Assistant to join their team. In this contract role, you will be responsible for heavy calendar and travel management. As the Administrative Assistant, you will also assist with special projects to fulfill organizational and departmental objectives. This includes process administration, event planning for internal personnel, hosting external guests, or gathering data needed to enhance reporting as well as tracking of certain projects or processes. Responsibilities for the Administrative Assistant:

  • Manage a busy, dynamic calendar for the Chief Security Officer including scheduling of group meetings involving several dynamic calendars
  • Provide high-level administrative support to InfoSec and Global Platform Operations
  • Create and submit expense reimbursement requests (may include multiple currencies)
  • Interface with Facilities, HR, and Finance and assist in issue resolution
  • Screen incoming phone and meeting requests
  • Plan, coordinate and carry-out special events
  • Maintain daily calendar for the CSO; coordinate appointments with external partners and customers
  • Research and prepare travel arrangements as needed
  • Process and track all purchase requisitions and expense reimbursements
  • Assist with various operational items related to budget
  • Assist members of InfoSec in other projects as needed
Requirements for the Administrative Assistant:
  • 3+ years' experience with the MS office Suite, focus on Outlook, Calendar, and Excel
  • 3+ years supporting a senior executive preferably in a high tech firm
  • Ability to analyze problems and recommend solutions in an efficient manner
  • Experience in planning world-wide travel (including time zone adjustments)
  • Experience in interfacing with senior executives and their administrative staff
  • Ability to work for a very fast paced team
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
